The easiest way to create a travel itinerary in Google Docs is to start with a blank document, add a trip summary, build one table for each day, insert reservation and map links, then share or download the finished itinerary for offline use.
Travel Itinerary Structure at a Glance
| Section | What to Include |
|---|---|
| Trip overview | Destination, dates, travelers, transport |
| Daily schedule | Time, activity, location, booking details |
| Reservations | Flights, hotels, tours, confirmation numbers |
| Travel information | Addresses, check-in times, transportation |
| Budget | Estimated costs and payment status |
| Emergency details | Contacts, insurance, embassy information |
| Packing list | Items to pack and last-minute tasks |
1. Open a New Google Doc
On a computer, open Google Docs and select Blank document. You can also type docs.new into your browser's address bar.
Rename the file with a clear title, such as:
Italy Trip Itinerary: Rome and Florence, June 10 to June 18, 2026
Google Docs saves changes automatically while you work online.
2. Choose the Right Page Layout
Select File > Page setup and choose the format that matches how you plan to use the itinerary.
- Choose Pages if you plan to print the itinerary or save it as a PDF.
- Choose Pageless if you will view the itinerary on a screen and need more room for wide tables.
Pages format supports page numbers, headers, footers, margins and page orientation. Pageless format is better suited to wide tables viewed on a screen.
For a printable itinerary, use:
- Portrait orientation for regular text
- Landscape orientation for wide schedule tables
- Narrow or moderate margins
- A readable font size between 10.5 and 12 points
3. Add a Trip Overview
Add a title at the top of the document and apply the Title style. Then create a short table with the main details of the trip.
| Trip Detail | Information |
|---|---|
| Destination | Rome and Florence, Italy |
| Dates | June 10 to June 18, 2026 |
| Travelers | Alex and Jordan |
| Arrival | Rome Fiumicino Airport |
| Departure | Florence Airport |
| Accommodation | Hotel names and addresses |
| Main transport | Flights, trains and local transit |
To apply a heading style, highlight the text and choose Title, Heading 1 or Heading 2 from the style menu. Heading styles make a long itinerary easier to scan.
For a large itinerary, you can also use Google Docs document tabs. Create separate tabs for Overview, Daily Schedule, Reservations, Budget and Packing List.
4. Create a Daily Itinerary Table
Use one table for each travel day. Separate tables are usually easier to read than one large table covering the entire trip.
Add a heading such as:
Day 1: Wednesday, June 10, 2026, Arrival in Rome
Then select Insert > Table and choose four or five columns. Google Docs supports tables with up to 20 rows and 20 columns.
A practical daily itinerary template looks like this:
| Time | Activity and Location | Reservation or Link | Transport | Notes |
|---|---|---|---|---|
| 8:00 a.m. | Breakfast at hotel | Restaurant link | Walk | Confirm opening time |
| 10:00 a.m. | Colosseum tour | Booking confirmation | Metro | Arrive 20 minutes early |
| 1:00 p.m. | Lunch near Monti | Restaurant link | Walk | Budget: $25 per person |
| 3:00 p.m. | Hotel check-in | Hotel address | Taxi | Store luggage if the room is unavailable |
| 7:30 p.m. | Dinner | Reservation number | Walk | Smart-casual dress |
Keep each entry short. Put detailed instructions, confirmation numbers and cancellation policies in the notes column or in a separate reservations section.
5. Add Booking Confirmations and Useful Links
Add links to:
- Hotel websites and addresses
- Google Maps locations
- Flight and train confirmations
- Restaurant reservations
- Tour operators
- Airport transfer services
- Travel insurance information
To create a hyperlink, highlight the text and select Insert > Link. Enter the web address and click Apply. You can also use Ctrl + K on Windows or Command + K on Mac.
Use descriptive link text rather than pasting a long web address. For example:
- Open hotel location in Google Maps
- View train booking
- See museum ticket details
6. Add a Reservations Section
Create a heading called Reservations and Confirmation Numbers. Keep the main booking details in one table so they are easy to find.
| Type | Provider | Date and Time | Confirmation Number | Important Details |
|---|---|---|---|---|
| Flight | Airline name | June 10, 8:40 a.m. | ABC123 | Terminal 2 |
| Hotel | Hotel name | June 10 to June 13 | H45678 | Check-in after 3 p.m. |
| Train | Rail operator | June 13, 10:15 a.m. | T78910 | Car 4, seats 18 and 19 |
Do not store unnecessary sensitive information, such as full payment card numbers, in the itinerary.
7. Add a Packing and Preparation Checklist
Google Docs lets you add checklists from the toolbar. You can also type @ and select a checklist.
Packing List
- Passport
- Wallet and backup payment card
- Prescription medication
- Phone charger
- Universal travel adapter
- Travel insurance documents
- Hotel and transport confirmations
- Comfortable walking shoes
- Weather-appropriate clothing
Before Departure
- Check the passport expiration date
- Confirm flight check-in
- Download offline maps
- Notify your bank if necessary
- Arrange airport transportation
- Share the itinerary with a trusted contact
8. Share the Itinerary With Travel Companions
Click Share in the top-right corner and choose the access level that fits the trip:
- Viewer: People can read the itinerary.
- Commenter: People can suggest changes without editing the main text.
- Editor: Travel companions can update the schedule directly.
For most trips, share the document with specific people instead of changing access to anyone with the link. Google Drive provides Restricted, Viewer, Commenter and Editor access options.
If you use a link-sharing option, remember that the file owner's name and email address may be visible to people who access the file.
9. Make the Itinerary Available Offline
An online itinerary may not be available when mobile service is poor or there is no internet access.
On a computer, Google Docs offline access requires Google Chrome or Microsoft Edge, offline access enabled in Google Drive and the Google Docs Offline extension. After enabling offline access, mark the file as Available offline.
You should also keep a PDF backup:
- Open the itinerary.
- Select File > Download and choose PDF, or select File > Print.
- Save the PDF to your device.
- Send a copy to your phone or store it in a folder that is available offline.
Google's print instructions include steps for saving a Google Doc as a PDF.

For most trips, use one overview table, one daily table for each travel day and a separate reservations section. Use Google Sheets instead if your main priority is tracking a complex travel budget.
